Terms and Conditions

Piano Service Terms and Conditions of Total Piano Care can be found on this page. These terms apply to both on-site and off site service work performed for clients on their respective piano(s).

By scheduling an appointment for piano services with Total Piano Care (the Company") you (the "Client") agree to the terms and conditions ("Terms" or "Terms and Conditions" or "Agreement") outlined below. These terms govern both pre-service expectations and post-service responsibilities, as well as our cancellation and payment policies.

1. Scope of Services

Total Piano Care shall provide piano-related services as agreed upon during the scheduling process via phone, text, e-mail, or our website scheduling page. These services may include, but are not limited to tuning, regulation, voicing, pitch correction, and repair services.

By scheduling or paying for an appointment, you hereby agree to these terms which apply before, during, and after services are rendered.

Policy Updates: The terms and conditions outlined in this agreement are subject to change at any time without prior notice. It is the Client’s responsibility to review the most current version of the agreement before scheduling any service(s).

2. Payment Terms

  • Payment After Services: Payment for services is due in full immediately after services are rendered, before the Company leaves the piano's premises, unless otherwise specified. 
  • Pre-Payment for Cancellations: Clients who cancel their appointment less than 24 hours in advance and choose to reschedule for any reason - other than for a medical emergency - must pay a $50 cancellation fee and pre-pay in full for their next appointment at the time of scheduling. There are absolutely no refunds for this pre-payment made in advance prior to scheduling. Pre-payments may only be made via check or Zelle unless otherwise agreed upon. Funds must clear first if paid by check before the upcoming appointment begins. Returned or cancelled checks are subject to a non-refundable $35 fee. 
  • Non-Refundable Payments: Payments are non-refundable once the service has been performed, except in cases of cancellation as outlined in Section 4.
  • MOUNTAIN REGION Clients (e.g. Big Bear, Arrowhead, Crestline, Running Springs, etc.) and DESERT REGION Clients (e.g. Palm Springs, Palm Desert, Cathedral City, 29 Palms, etc.): A flat $25 Travel Charge added to the cost of all service visits to cover the additional travel time and extra mileage involved in traversing SoCal Freeways or other terrain in order to service your piano. 

3. Post-Service Terms

a. Acknowledgment of Completion: Upon completion of the service, the Client acknowledges that they are responsible for inspecting the piano and confirming satisfaction with the work performed.

b. Liability Release: The Client releases the Company from any liability, injury, or losses — whether direct, indirect, tangible, or intangible — arising from the use of the piano after the service is completed.

c. Pitch Corrections: If pitch correction services are performed:

  • Minor Adjustments (≤ 5 cents sharp/flat): The piano should be re-tuned within 6 months to maintain stability.
  • Major Adjustments (> 20 cents sharp/flat): Re-tuning is required within 60–90 days to ensure stability.

d. No Warranty on Tuning Stability: The Company provides no warranty on tuning stability beyond 14 days for any piano originating with a pitch deviation greater than 5 cents sharp or flat from A440Hz.

e. Notification of Issues: If the Client discovers an issue with their piano, player system, silent system, or Piano Life Saver system after service is completed, they are responsible for notifying the Company immediately. The issue must be documented in writing via text (909) 784-KEYS (5397) or to our e-mail (TotalPianoCare [at] gmail [dot] com to ensure proper record-keeping. While phone calls are appreciated, all service concerns must be submitted in writing to be officially acknowledged and addressed. 

4. Cancellation Policy

We understand that emergencies happen, but last-minute cancellations disrupt our schedule and affect other clients. To ensure fairness, the following cancellation policy applies:

  • Cancellations Within 24 Hours: Clients who cancel their appointment within 24 hours of the scheduled appointment time must pay a $50 cancellation fee and pre-pay for their next appointment at the time of scheduling the full service fee. This fee is non-refundable and must be paid prior to rescheduling any future appointments.
  • Repeat Cancellations: Clients who cancel more than twice within 24 hours for non-emergency reasons will: Be required to pay the full appointment fee in advance for any future appointments. Be placed on probationary status, during which the Company will evaluate whether to continue offering services to the Client.
  • Emergencies: Exceptions for true emergencies may be granted at the sole discretion of the Company, but written documentation or proof may be requested.

5. Post-Service Adjustments

If issues with the piano’s sound or condition are identified after services are rendered, the Client is responsible for any additional service fees, including:

  • Service Call Fee: Starting at $150
  • Parts Costs: Starting at $10.00 per item (if applicable).
  • Labor Charges: $75 per hour.
  • Travel Fees: Mileage is billed at $1/mile to the client, when traveling outside of a 20 mile radius of 92504. 
  • MOUNTAIN REGION Client Travel Fee as outlined in Section 2 above.

6. Refunds Policy

All services are final, and no refunds or credits will be issued after the service is completed.

7. Privacy and Media Restrictions:

The Client agrees that no audio recordings, video recordings (with or without audio), and/or pictures or photographs may be taken while the Company is on-site at the premises where the piano is located. Furthermore, the Client agrees that no such media may be shared, distributed, or posted to social media or any other public platform without the express written consent of Total Piano Care. Any violation of this policy may result in legal action and/or termination of future service eligibility.

8. Legal Costs and Indemnification

In the event of any dispute arising from or related to this Agreement, the Client agrees to indemnify, hold harmless, and release the Company from any and all liabilities, claims, or damages. Additionally, the Client agrees to reimburse the Company for any legal expenses incurred, including but not limited to attorneys’ fees, court costs, and any other related expenses associated with enforcing this Agreement or resolving the dispute. 

9. Governing Law

This Agreement shall be governed by the laws of the State of California and any disputes will be resolved in the courts of Riverside, California.

10. Agreement to Terms

By scheduling an appointment and paying for services, the Client acknowledges and agrees to these terms.
